Forms and Policies
It is important that all members be on time for all activities that you are registered to attend. Certain activities taking place at The Arc that have already begun before the member arrives are difficult to start over. It will be up to The Arc staff whether or not the late member will be able to take part in the activity or if the activity can be started over. If a member cannot attend an activity, he/she cannot send a substitute in his/her place.
The activity that you wanted to attend was cancelled, because we did not know that you were interested in attending. In order for an activity to be held, all activities must meet the minimum enrollment of 8 members. Please remember to register on time. Do not delay! Avoid disappointment by registering early. Activities will be cancelled when fewer than 8 registrations have been received in the office. If an activity is cancelled, you will be notified by email and/or phone and credit will be given to those registered. Be sure to register early. Many activities have a limited enrollment and registrations are accepted on a first-come, first-served basis.
Cell Phone Use
Cell phones may not be used during activities unless authorized by The Arc staff for emergencies or to contact staff or family. Absolutely NO TEXTING will be allowed during activities. Members may use their cell phone before and after activities. Members are not allowed to record content or conversations in The Arc or take any pictures of people without their consent. Cell phones will not be permitted in any bathrooms. If members do not follow this policy, the following actions will be taken:
During an activity, participants, family members, and support staff are asked to keep their cell phones on silent and to put them and all other electronic devices away during activities. Exceptions will be made for devices used to assist with speech.
Community Connections (Day Trips)
All members are required to have a Field Trip release completed and on file at the office. This must be signed by a parent or guardian. Effective May 1, 2015: The trips that have a limited number of places will now be conducted through a lottery system. You must indicate on your registration form that you want to be entered into the drawing for a spot on this trip. Do not send payment for this trip. If selected you will then pay for the trip. If a member that is registered and is unable to go, a substitution will not be allowed. Members are asked to stay with the group and are required to ask The Arc staff if they need to go away from the group. If inappropriate behavior arises, the following procedure will be used:
Members will be credited the amount paid for the activity if they are unable to attend, only if the member calls and notifies The Arc office 24 hours before the activity. If it is a medical issue or family emergency, you can call the day of the activity. Members will also receive credit if The Arc activity does not meet the minimum enrollment of 8 members or if The Arc needs to close for sever weather. ABSOLUTELY NO REFUNDS WILL BE GIVEN!
Dismissal from The Arc
If a behavioral problem arises the following procedure will be used to deal with the situation:
Dress Code and Hygiene
Program members are expected to come to program clean and neat (bathed daily, washed and combed hair, brushed teeth, and clean clothes without holes). Program members who come to program inappropriately dressed may be sent home to change or if they have a change of clothes with them will be asked to change.
Program Members Are Not Allowed To Wear:
If a member finds themselves in financial difficulty, please call The Arc office and the Program Director will work to assist with financial arrangements. Payment plans can be established if needed. The Arc does have scholarship money available on a yearly basis. This money can be used to help pay for activity that members may not be able to afford.
Food or Beverage
Participants are asked to refrain from bringing food or beverages to activities unless there is a medical need to do so or unless it is requested for the activity.
All medications that The Arc staff must administer during activities should be pre-packaged in individual envelopes with detailed directions and handed directly to The Arc staff. A Medication Assistance Form must be completed by personal care provider/guardian for each individual member. The Arc staff also needs to be aware of any side effects that come with each medication. The Arc staff should also be informed of any allergies a member might have, as food or drink might be provided at activities.
Rights and Responsibilities
I have the right to make my own choices.
I have the responsibility to make choices that will not hurt myself, others, or property that does not belong to me.
I have the right to participate in the activities I choose.
I have the responsibility to choose activities that are not already filled and are currently being offered.
I have the right to express my feelings.
I have the responsibility to express myself in a way that does not harm anyone or anything.
I have the right to be angry.
I have the responsibility to express my anger in a calm voice, or to go away from others until I can do so.
I have the right to interact (do things) with other people.
I have the responsibility to treat them with respect, and to make sure they want to do things with me.
I have the right to do things when I want.
I have the responsibility to make sure I am ready to go when the activity starts, or when my ride comes to pick me up.
I have the right to bring things to The Center with me.
I have the responsibility to keep track of these things, and to keep them out of the way of other people.
I have the right to use any public rooms in The Center.
I have the responsibility to ask before using any offices, storerooms, or locked places.
I have the right to use anything that belongs to The Center.
I have the responsibility to keep these things in good shape, to put them away when I am finished, and to share them with anyone else who wants to use them.
I have the right to ask Center staff for help and attention.
I have the responsibility to ask in a nice way, and to let them help others as well.
Rules at The Arc
There are 10 rules at The Arc. These rules are in effect and followed to make The Arc a safe and friendly environment for people with disabilities and other guests.
Spending Money Assistance
The Arc offers our members a worry free experience, and this includes optional oversight of their spending money. The Arc requires members who need assistance with money management to turn all funds and the Spending Assistance Form with The Arc staff upon check-in. This form will track expenditures of the member and funds will be place in an envelope with the member’s name.
The Arc staff will not assume responsibility of member’s money unless the form is completed and signed. Member’s may choose to handle their own spending money independently without any assistance from The Arc staff.
Supervision of Members
The Arc is not a primary care giving organization. Our staff are not trained in the areas of behavior management, personal cares, physical interventions, or medication administrators. It is the responsibility of the primary care providers/legal guardians to provide these types of services at any Arc function. It is the primary care providers/legal guardian’s responsibility to follow each member’s Individual Service Plan/Risk Management Plan set up by their personal service team. Any member who has a history of physical aggression, inappropriate sexual conduct and/or a “Rule 40” within the past year must be accompanied by a primary care provider/legal guardian to all Arc events. The Arc Staff are not responsible for any personal care items and tasks for members such as toilet visits, feeding, bathing, and/or dressing. Members are required to bring their own staff to activities as necessary.
The Arc is not responsible for supervision of members before or after designated program times. For the safety of all members, parents and/or staff must personally check in with The Arc staff when dropping off members. At any time, if The Arc Staff feel they can not provide safe, appropriate supervision during a program, The Arc reserves the right to contact primary care givers/legal guardians and require them to remove or accompany the member to the program. Primary care providers/legal guardians must be available to be contacted at any time during program for emergency purposes. The Arc Board of Directors and/or the Executive Director reserve the right to review each member’s needs on an individual basis to determine appropriate supervision.
Severe Weather Reminders
The Arc would like to remind all members/staff/guardians to always pay attention to the weather. In the event of severe weather, cancelling programs may be in the best interest of our members.
The following guidelines will be used to determine cancellations:
Programs will be held as scheduled if there is a Severe Weather Watch in effect. It will be up to members/staff if they would like to attend. In order to get credit for the activity, cancellations must be called in prior to the event start time.
It is The Arc’s policy to cancel any and all Arc programs if a Severe Weather Warning is in effect.
SEVERE HOT WEATHER CONDITIONS FOR OUTDOOR ACTIVITIES: Temperature or Heat Index of 95 degrees or higher.
The Arc will use discretion when determining program cancellations due to other weather conditions and watches.
Notices will be publicized via Television (KAAL and KTTC), www.facebook.com/thearcmc and www.thearcmc.org. You can call 507-291-9540. Phone calls will be made to members/staff/guardians only if staff is able to get to the office.
The Arc provides transportation to all members at no cost. A minimum of three participants is needed to operate our bus for an activity. Transportation may not be available for late registrants. Participants will be notified of any scheduling changes should they occur. Non-members are charged $2.00 for a one-way trip or $4.00 for a two-way trip.
To request a ride, you need to call The Arc office at 507-433-8994:
Members, who request a ride and either receive a ride from somebody else, ride their bike, walk, etc. without cancelling their ride will be charged $5.00. These fees will automatically be added to your account and you will receive an invoice at the end of the month
Note: The Arc Mower County's Bus does not have a wheelchair lift.
Reminder: The Arc bus only holds 13 members. If you would like to attend an activity but provide your own transportation, please contact The Arc and ask about attending those activities with your own staff.
Bus Rules: Bus rules are located on the bus for all members to follow.
Some programs do fill up so we suggest registering as soon as possible. If a activity is full, The Arc will put your name on a waiting list. If any participants cancel for an activity, The Arc will call participants in the order on the waiting list to take the place of the open spot. Participants who are on the waiting list have no obligation of attending the activity if called and no are longer interested.
In order to maintain a healthful environment for all members, staff and visitors and to minimize the spread of any contagious illness, we ask members to refrain from attending The Arc programs if any of the following conditions exist:

Effective October 15, 2014:
All fees must be paid by the date of the activity or a $5 late fee will be added.
What if I can’t afford to pay for activity fees? The Arc has scholarships available for members who are not able to pay the whole cost of activity fees.

May I drop a payment off after office hours? Yes, please use the drop box outside the main door and make sure the payment is in a sealed envelope and has the participant’s name written on the envelope.
